Position Overview
Join our boutique marketing agency as the Administrative & Entry Level Marketing Assistant, where your role will encompass a dynamic range of responsibilities. Collaborating closely with the business owner, you’ll immerse yourself in understanding client expectations and the intricacies of their marketing projects. With our training, you’ll master the tasks required for each project, leveraging your exceptional organisational skills to ensure timely project completion.
As a key liaison, you’ll manage the business owner’s calendar and email, efficiently scheduling appointments and allocating development works to meet client needs when required, while staying on top of communications and deliverables. Your role extends to creating and delivering monthly client performance reports and executing entry-level marketing tasks such as social media posts, Google updates, and website content using AI technology coupled with your keen creative flair.
You’ll be instrumental in developing standard operating procedures (SOPs) for all business areas, ensuring seamless operations and knowledge transfer. Your adept communication and customer service skills will shine as you engage with clients by email, while your analytical expertise and creative mindset will drive insights from client reporting to inform recommendations and project planning.

Qualifications, Skills, Experience
- Qualifications in Administration, Business, Marketing, Operations or a related field.
- Experience or some understanding in digital marketing, website development, and WordPress is advantageous.
- Understanding of basic SEO principles or willingness to learn.
- Familiarity with AI applications and basic prompts.
- Proficiency in social media content posting, Google tools, and business profile management.
- Proficiency in Microsoft 365 and Google Cloud based software (Docs, Sheets, slides, etc).
- Experience in Canva.
- Excellent written and verbal communication skills (english).
- Excellent organisational skills
Responsibilities/Duties
Below are some of the duties that may be required from you over time.
Administrative Support:
- Offer comprehensive administrative assistance, including calendar management, appointment scheduling.
- Aid in creating reports, presentations, and communication materials.
- Coordinate and organise meetings and tasks, ensuring efficient daily operations.
- Maintain flexibility and availability to accommodate schedule changes.
- Support various administrative and clerical tasks as needed.
- Develop SOP’s for recurring tasks.
- Turn Proposals into compelling templated presentations.
- Use and manage Xero Projects and other internal softwares to log client work/tasks.
- Basic Bookkeeping when required.
Communication:
- Draft, edit, and distribute communication materials to clients and suppliers as needed.
- Coordinate and schedule meetings, including sending out invitations and preparing meeting agendas.
- Manage email correspondence, responding to inquiries and forwarding messages to appropriate people.
- Assist in creating and updating marketing collateral, such as brochures, flyers, websites, and presentations, to ensure consistency and accuracy in messaging.
Meeting Coordination:
- Arrange and manage executive meetings, ensuring all required materials are ready.
- Participate in meetings, record precise minutes, and distribute summaries as necessary.
Project Coordination & Marketing Tasks:
- Assist in planning and organising marketing projects, including coordinating timelines and deadlines.
- Collaborate with the business owner and staff to gather necessary resources and information for project execution.
- Monitor project progress, identify potential issues, and communicate updates.
- Support the implementation of marketing strategies and campaigns, including coordinating promotional materials and assets.
- Maintain accurate project documentation, including tracking project expenses, updating project calendars, and organising project files.
- Research content ideas and develop marketing pieces to support client projects across social media, google and websites.
Entry Level Marketing
- Assist in brainstorming and generating ideas for marketing campaigns and promotional materials.
- Creation and design of visual content, such as social media graphics, email templates, and digital advertisements, using tools like Canva.
- Coordinate with vendors and suppliers to produce marketing materials, ensuring quality and timely delivery.
- Assist in the development and execution of creative content for social media platforms, including writing engaging copy and scheduling posts.
- Conduct research on industry trends, competitor activities, and customer preferences to contribute to creative marketing strategies and campaigns.
- Publish website content, transcribe videos into articles.
Confidentiality:
- Handle sensitive information with discretion, maintaining confidentiality at all times.
- Manage confidential documents and communication channels securely.
Document Management:
- Organise and maintain files, records, and documentation in electronic formats.
- Establish efficient documentation systems.
Remuneration Package
- Monthly Salary Range 25,000-35,000 PHP. Negotiable based on qualifications and experience) + Work from home stipend of 3,000 PHP per month + Competency incentive program bonuses negotiated after 3 months.
- 5 days per annum sick / bereavement leave;
- 20 days per annum holiday leave (2x weeks compulsory holidays at Christmas/New Year with the balance for your choice throughout the year);
- Other days off:
- All Qld & Australian Public Holidays;
- Your Birthday.
- Reimbursement program: We will reimbursement the following contributions to you as a self employed person:
- Phil health Contribution of 4% of monthly salary component;
- SSS Contribution for Self employed 14% of monthly salary component.
Weekly competency reporting will help track your progress towards meeting competency targets, ultimately enabling opportunities for bonuses and salary increases. Performance reviews, conducted after month 3 from commencement and then 6 monthly, will provide a comprehensive evaluation of your achievements and contributions. You will be responsible for actively managing and striving to meet your competency targets.
